Improving internal efficiencies at KCR Academy

KCR Academy

KCR Academy is the official global Kinetic Chain Release training provider, operated by master instructor Jane Wardlaw whose husband Hugh Gilbert founded the protocol. 

As the sole provider of training for Kinetic Chain Release, a total-body treatment involving  gentle mobilisations and stretches, and associated therapies the Academy has thousands of students worldwide and handles training and certification. 

We helped them build a platform that digitises that process. With ambitious growth goals, they brought on 63Digital to help them reduce time spent on administrative tasks.

Through a multi-stage approach, we consolidated complex and scattered business processes into a user-friendly Training Course Management and Booking platform.

This platform allows for improved management of student and trainer records, and features integrations that simplify communications and trainer fee collection.

With a focus on ease-of-use we have achieved a reduction in administrative overhead, and increased the Academy’s time and resource availability.

Stage 1: Strategy and recovery

When we began working with KCR Academy they did not have access to their WordPress website, which would act as a key funnel to the course management and booking platform.

We recovered access to the website as well as the domain and related email accounts.

Following this crucial first step, we worked closely with KCR Academy to ensure our platform would consolidate and simplify processes in-line with existing business practices.

This set a strong foundation as ownership of the website would make for an owned funnel and easier integration as the process progressed, and proper alignment ensured smooth communications throughout the project.

Stage 2: Data unification and platform development

Prior to the launch of our platform, student and trainer records spanned multiple management systems including Access, Excel, and legacy WordPress among others.

We consolidated this data through a migration of all records to a single managed database.

We then launched the new Training Course Management and Booking platform.

The platform, where the KCR Academy team could oversee trainer bookings, course progress and key student details, was launched with multiple access levels; Admin, Training Provider and Student.

Students are now able to view their training record online and keep their contact details updated. This has improved student engagement and led to an increase in those continuing their training journey
As is Standard with 63Digital platforms, it is fully responsive with both the front end and management dashboard working on desktop, tablet and mobile.

During this stage, we also integrated their email marketing software into the platform which auto synchronises new students and updates any detail changes existing students make.

Stage 3: Payment simplification

To simplify the administration associated with payments and accreditation fees, we integrated Stripe Connect support.

The system allowed for reduced manual admin related to taking payments, as they could now be taken at point of booking rather than the prior process of invoicing in arrears.

63Digital also developed the platform to take recurring payments for Accreditation fees.

Stage 4: International expansion and support

Following a successful launch of payment processing, we expanded the platform to transact in multiple currencies.

Currently the system operates across USD, CAD, EUR and GBP.
We also remain on-hand to assist KCR Academy with platform housekeeping.

From updates and expansion in-line with business objectives, we have developed a long-term relationship with this client and continue to manage and work on the platform.

Simplifying time-consuming processes

In order to help the operation grow and take on more trainers, KCR Academy needed a system that consolidated what previously spanned multiple systems and processes.

With our platform covering booking, course progress, accreditation status, payment and fees, as well as student details for email lists, processes were simplified significantly.

With data now available at a centralised point, the academy could focus on growth with time spent chasing payments and locating student details eliminated entirely.

Prioritising ease-of-use at multiple access levels

From students and trainers on the front end to administrators on the management dashboard, our platform is intuitive and user-friendly.

We prioritised close collaboration with the team at KCR Academy to ensure that all users at their access levels can easily find and access the assets or information that they require.

Time saved is not solely in the consolidated function of the platform, it is also in navigation and management for all users.

More currencies; less stress

The expansion into international currency has helped KCR Academy serve its more-than 50 trainers and over 2000 students worldwide.

As the function allows for payment at point of booking and with payments currently covering four currencies, there has been increased scope for international growth.

A responsive platform for a fast paced business

A recent example of the responsiveness of the platform can be seen in the quick setup and launch of a course while offsite with no assistance required.

While on holiday in the US, a senior member of the KCR Academy decided to run an ad-hoc training course. Thanks to the usability and multi-device nature of the tool, they were able to quickly set up a course, sign students up, and take full payment in USD.

Being able to do this in a matter of minutes has allowed KCR Academy to capitalise on opportunities without having to worry about admin down the road, or technical assistance.
